Operations & Executive Co-ordinator

Location: Harare

COMPANY OVERVIEW

Our client is a well-established poultry business and one of Zimbabwe's larger producers of day-old chicks, with operations spanning breeder farms, hatchery production and national distribution.

ROLE OVERVIEW

Reporting to the CEO and executive team, the Operations & Executive Co-ordinator will be the link between executive management and the heads of every department. The role exists to make sure plans agreed at exec level are carried out, reporting comes in on time and to a consistent standard, and managers are held to agreed processes and deadlines. The focus is mainly operational, with a smaller executive support element. This is a senior role for someone who can work confidently with managers across the business and take the day-to-day follow-up off the executives.

KEY RESPONSIBILITIES

Operations and accountability

  • Act as the main link between the executive team and all department managers
  • Track progress on executive decisions, projects and new plans, and follow up with managers to keep them on schedule
  • Design and implement reporting structures, templates and timelines across all departments
  • Collect, check and consolidate departmental reports, and present clear summaries to the executive team
  • Develop, document and roll out Standard Operating Procedures, and monitor compliance
  • Flag delays, risks and recurring issues to the CEO early, with practical recommendations
  • Co-ordinate cross-departmental initiatives and make sure responsibilities are clear
  • Maintain an action tracker for all open executive actions

Executive support

  • Prepare agendas, take minutes and follow up on action points from executive and management meetings
  • Support the CEO with correspondence and priority tasks where needed

REQUIREMENTS

  • Degree in Business, Management, Operations or a related field is advantageous
  • Experience in an operations management, business improvement, project management, chief of staff or senior executive support role
  • Proven experience developing SOPs, reporting frameworks or management processes
  • Confident dealing with senior managers and holding them to deadlines, with tact
  • Strong written communication and report-writing skills
  • Good all-round IT skills
  • Highly organised, discreet and able to manage multiple priorities

PREFERRED EXPERIENCE

  • Background in a manufacturing, agricultural, FMCG or production environment
  • Experience working closely with a CEO or executive team
